Accounting Manager (Full-Time)

SUPERVISED BY: Executive Director

HOURS:  Full-Time, Exempt Position; 40 hours/week

PAY RATE:  $60,000-$65,000

Position Description

Safe Haven is seeking an Accounting Manager who will be responsible for overseeing the financial and accounting operations of the organization, including recording, maintaining, verifying and analyzing its financial books and records.

Organizational Overview

Safe Haven Ministries—a nonprofit organization located in Grand Rapids, Michigan—believes in a multi-faceted approach to serving victims/survivors of domestic violence and preventing domestic violence in our community. Safe Haven offers comprehensive residential and non-residential services; confidential emergency shelter for individuals and families fleeing domestic violence; psycho-educational support groups; individual case management and advocacy; and primary prevention training and outreach for the entire community.

Summary of Duties

  • Review and code invoices, receipts, staff reimbursement and mileage reports
  • Submit and record weekly deposits
  • Enter invoices into QuickBooks and prepare timely payments to vendors
  • Process accounts payable on a weekly basis
  • Reconcile bank accounts monthly
  • Reconcile gift cards, pledges, restricted gifts, and donations monthly
  • Maintain and reconcile company credit card expenses
  • Manage and process bi-weekly payroll
  • Maintain, review and file financial records and grant documentation according to local, state, and federal guidelines
  • Prepare cash flow forecasts, projections, and monthly reports
  • Maintain fixed assets according to federal and state guidelines
  • Provide documentation for fiscal and grant audits
  • Review audited financial statements and annual Form 990
  • Prepare annual budgets
  • Manage and execute spend down dates for grants in collaboration with appropriate staff
  • Provide financial and grant information and support, as needed
  • Develop grant budgets with oversight from the Director of Development
  • Maintain detailed schedule of grant applications and reporting deadlines within development software
  • Prepare and submit invoices for local, state and federal grants on on-going basis
  • Manage capital and operational donor pledges
  • Prepare monthly financial reports for executive director, finance committee and board
  • Attend monthly finance committee meetings and interface with Executive Director and committee chair on related matters
  • Present and explain financial data and key topics to directors and finance committee
  • Work in collaboration with the Development Director, Operations Manager and Executive Director on various projects
  • Maintain and enforce a documented system of accounting policies and procedures

Knowledge, Skills, and Abilities Required or Preferred

  • Bachelor’s degree in related field (accounting, finance, etc.).
  • Finance experience required (4-5+ years accounting experience preferred)
  • Previous experience working with non-for-profits and grant accounting preferred but not required
  • QuickBooks or similar accounting software
  • Proficient in Microsoft Office
  • Outstanding organizational skills and attention to detail & accuracy
  • Excellent oral and written communication
  • Maintains confidentiality of financial matters and records
  • Strong leadership skills

  • Ability to work independently & be flexible on the job
  • Ability to work well with all levels of management, staff, board, clients, donors, and vendors
