Job Title: Accounting Associate
Supervised By: Accounting Manager
Hours & Status: Part time, non-exempt 20 hours/week
Salary & Benefits: $17-$19 per hour
POSITION OVERVIEW
Safe Haven is seeking an Accounting Assistant who will be responsible for assisting with the financial and
accounting operations of the organization, including recording, maintaining, verifying and analyzing its
financial books and records.
ORGANIZATIONAL OVERVIEW
Safe Haven Ministries – a nonprofit organization located in Grand Rapids, Michigan – believes in a multi-
faceted approach to serving victims/survivors of domestic violence and human trafficking and preventing
domestic violence in our community. Safe Haven offers comprehensive residential and non-residential
services; confidential emergency shelter for individuals and families fleeing domestic violence and human
trafficking; psycho-educational support groups; individual case management and advocacy; and primary
prevention training and outreach for the entire community.
SUMMARY OF DUTIES (Essential Functions)
● Review and code invoices, receipts, staff reimbursement and mileage reports
● Submit and record weekly deposits
● Enter invoices into QuickBooks and prepare timely payments to vendors
● Process accounts payable on a weekly basis
● Reconcile bank accounts monthly
● Maintain and reconcile company credit card expenses
● Process bi-weekly payroll
● Maintain, review and file financial records and grant documentation according to local, state, and federal guidelines
● Assist with cash flow forecasts, projections, and monthly reports
● Assist with preparation of annual budgets
● Provide financial and grant information and support, as needed
● Prepare and submit invoices for local, state and federal grants on on-going basis
● Assist with the preparation of monthly financial reports for executive director, finance committee
and board
● Work in collaboration with the Accounting Manager on various projects
KNOWLEDGE, SKILLS & ABILITIES REQUIRED OR PREFERRED
● Associate’s degree in related fields (accounting, finance, etc.) (preferred).
● Bookkeeping experience (1 year+ preferred)
● Previous experience working with not-for-profits and grant accounting preferred but not required
● QuickBooks or similar accounting software
● Proficient in Microsoft Office
● Outstanding organizational skills and attention to detail & accuracy
● Excellent oral and written communication
● Maintains confidentiality of financial matters and records
● Creative problem solver
● Ability to work independently & be flexible on the job
● Ability to work well with all levels of management, staff, board, clients, donors, and vendors
