Supervised By: Operations Manager

Hours & Status:  Part-time; non-exempt 20 hours/week 

Salary & Benefits:  $15-$17/hour                                                                 

POSITION OVERVIEW

Safe Haven is seeking a detail-oriented and self-starter to be a welcoming person when visitors call or enter the building. This role will add to our diverse team who share a dedication to serving and enhancing the voices of those impacted by relationship abuse, while also working to prevent violence before it begins. 

The Receptionist is responsible for the maintenance of a safe and welcoming lobby environment at Safe Haven Ministries. This includes welcoming victims and survivors, and greeting community partners. This role will also be responsible for overseeing a multi line phone system.

A successful candidate will have experience in a similar role, will have strong verbal and written communication skills; will have good listening skills to interact with clients who may be in crisis, and time management skills to prioritize tasks throughout their shift.

ORGANIZATIONAL OVERVIEW

Safe Haven Ministries—a nonprofit organization located in Grand Rapids, Michigan—believes in a multi-faceted approach to serving victims/survivors of domestic violence and preventing domestic violence in our community. Safe Haven offers comprehensive residential and non-residential services; confidential emergency shelter for individuals and families fleeing domestic violence; psycho-educational support groups; individual case management and advocacy; and primary prevention training and outreach for the entire community.

SUMMARY OF DUTIES (Essential Functions)

  • Manage incoming calls for the organization and notifies staff of visitor arrivals
  • Serves visitors and clients by greeting, welcoming and directing them appropriately
  • Monitor the front entrance security systems and maintains security by following agency policies and procedures, issues visitor badges, completes confidentiality forms with visitors
  • Receive donations & deliveries in coordination with the Residential Program Coordinator
  • Receive, sort, and deliver mail
  • Keeps a safe and clean reception area 

KNOWLEDGE, SKILLS & ABILITIES REQUIRED OR PREFERRED

  • A minimum of a high school diploma or GED is required
  • 2-3 years’ experience as a receptionist or in a similar role with transferable skills
  • Courteous, professional and able to multitask with ease
  • Sensitivity to confidential matters required
  • Excellent oral and written communication skills
  • Must possess basic computer skills
  • Excellent interpersonal skills and ability to work with all levels of internal management and staff and outside donors and vendors
  • Ability to work independently
  • Must be a self-starter
  • Adaptable to dynamic, fast-paced and often times unpredictable work environment 
  • Detail-oriented
  • Knowledge of the dynamics of domestic violence preferred but not required 
  • Bilingual in Spanish preferred but not required
