POSITION OVERVIEW
Safe Haven Ministries is seeking a people operations person, self-starter and detailed orientated to help support the work of the Safe Haven Ministries Human Resources, CEO and director-level staff. This role will add to our dynamic team who share a dedication to serving and enhancing the voices of those impacted by relationship abuse and human trafficking, while also working to prevent violence before it begins.
In addition to supporting the CEO, the Admin & HR Generalist is responsible for the administration of HR Benefits and coordination of HR policy. This role will also be responsible for overseeing basic HR responsibilities, such as onboarding paperwork for new hires and employee query of HR related topics while navigating isolved, our human capital management software. This role also supports office management and will oversee front desk volunteers.
A successful candidate will have experience supporting executive teams; will have strong written and verbal communication skills; and will have the ability to focus on details, while also being able to see the larger picture and plan ahead.
ORGANIZATIONAL OVERVIEW
Safe Haven Ministries – a nonprofit organization located in Grand Rapids, Michigan – believes in a multi-faceted approach to serving victims and survivors of domestic violence and human trafficking and preventing domestic violence in our community. Safe Haven offers comprehensive residential and non-residential services; confidential emergency shelter and supportive housing for individuals and families fleeing domestic violence; psycho-educational support groups; individual case management and advocacy; and primary prevention training and outreach for the entire community.
SUMMARY OF DUTIES (Essential Functions)
- Calendar management, meeting coordination, email/phone communications, and other support as needed for CEO and Leadership Team
- Administration of HR Benefits and general oversight of vendor relationship
- Receive, sort, and deliver mail
- Order office supplies, tracking inventory, and filing
- Manage administrative functions of agency website job postings
- Assist employees in HR related topics, support employees, and provide support for onboarding and offboarding employees
- Oversight of onboarding process for new hires including managing incoming applications, offer process and onboarding procedures
- Maintain isolved system including: Employee Records, Organizational Chart, Staff Roster, Phone Extension List, and Certifications
- Provide communication coordination with the Board of Directors, Board of Directors Roster, and Board Minutes
- Maintain compliance with LARA, MIOSHA, Better Business Bureau, Chamber of Commerce, and other entities
- Support and oversee front desk volunteers
- Assist with office space management and other duties as assigned
KNOWLEDGE, SKILLS & ABILITIES REQUIRED OR PREFERRED
- A minimum of two years of college, and/or relevant training or experience related to the core functions of this role
- 3-5 years’ experience as an executive assistant, administrative assistant, and people operations
- Ability to multi-task and work with and implement the principles of effective administrative and office management
- Excellent oral and written communication and computer skills
- Excellent interpersonal skills and ability to work with all levels of internal management and staff and outside donors and vendors
- Ability to work independently
- PHR or SHRM-CP certification preferred but not required
- Must be a self-starter
- Adaptable to dynamic work environment
- Bilingual in Spanish preferred but not required
- Detail-oriented
- Sensitivity to confidential matters required
- Knowledge of the dynamics of domestic violence preferred but not required
- Ability to effectively communicate with others
- Ability to navigate stairs
- Ability to lift and move 40 pounds
